Can I just use the venue’s WiFi for my event?

19 May 2026 · 5 minute read

Often yes, and where it works it is by far the cheapest option because the expensive part is already installed. It stops working when the venue’s connection was sized for its normal occupancy rather than your event, when you need networks kept separate, or when anything is being streamed. Five questions will tell you which situation you are in.

We would rather tell you this than sell you a network you do not need. Plenty of events run perfectly well on the venue’s own connection.

What should I ask the venue first?

1. What is the actual line speed, and is it dedicated? Not the advertised package, the real figure. Ask whether it is a leased line or a broadband service, and whether the upload is symmetrical. Upload is the constraint that catches events out.

2. How many people is it normally used by? A circuit sized for an office of thirty will not carry a conference of a thousand. This is the single most common failure and it is entirely predictable in advance.

3. Can we have our own network on it? If your card machines, ticketing and public access all sit on the same network as the venue’s own systems, you have no control over what happens when it gets busy, and neither do they.

4. How many access points are there, and where? Coverage designed for a hotel corridor is not coverage designed for a crowd in a ballroom. Ask for a plan if they have one.

5. Who fixes it on the day, and how quickly? Many venues have an IT provider on a business-hours contract. Your event is on a Saturday.

When will venue WiFi not do the job?

When your event is much bigger than the venue’s normal load. The connection and the access points were sized for something else. Capacity, not coverage, is what runs out.

When you need networks kept apart. Card payments, ticketing, production and public access should not share. Most venues cannot give you separate isolated networks with reserved bandwidth, because their kit was not set up for it.

When anything is being streamed. Broadcast and live streaming need reliable upload, and upload is where shared venue connections struggle most. A single 1080p60 stream wants around 12 Mbps sustained, and it needs that consistently, not on average.

Is there a middle option?

Yes, and people forget it. Where a venue has a decent line but poor coverage or no ability to segment, the sensible answer is often to use their connection as the backhaul and put your own access points and network design on top of it.

That is usually much cheaper than bringing your own connection, and it gets you the separation and the coverage the venue cannot provide. Worth asking about before assuming you need everything.

What if the venue says it will be fine?

Ask them to put it in writing, specifically that the connection will support your expected number of concurrent users and your upload requirement. Not because anyone is being dishonest, but because “it will be fine” usually means “it has been fine for the events we normally host”, and yours may not be one of those.

If they will not commit, that is your answer. For what a full network costs if you do need one, see how much event WiFi costs.

Common questions

Is hotel WiFi good enough for a conference?

Sometimes, for a small conference with modest requirements. Rarely for anything with several hundred delegates, a livestream, or exhibitor stands taking payments. The limiting factor is almost always upload and segmentation rather than raw speed.

Can you build on top of a venue’s existing connection?

Yes, and it is often the most cost-effective approach. We survey what is there, test it under load, and add access points and network separation on top.

What if the venue charges for WiFi access?

Some venues charge per device or per day, and for a large event that can cost more than bringing your own network. Worth doing the arithmetic before assuming the free option is cheaper.
